Thank you for choosing Still Atlas for your travel planning. Please review these Terms & Conditions (“Agreement”) that govern the relationship between you, the Client (“you” or “your”), and Still Atlas (“we”, “us”, or “our”). By engaging our services, you agree to be bound by all terms herein.
1. Scope of Services
We provide bespoke travel planning, hotel and accommodation reservations, itinerary design, cultural and experience recommendations, and travel-concierge support. We act as an intermediary between you and third-party travel suppliers (hotels, airlines, tour operators, transport providers, restaurants, etc.). We do not own or directly operate these suppliers.
2. Planning Fees & Booking Fees
For full trip design (itineraries, experiences, reservations beyond hotel booking), a planning fee is applicable and quoted up front. This fee is non-refundable once work begins.
Hotel-only bookings via our preferred partner network may be complimentary (when supplier commission covers cost). For independent accommodations (machiya, villa rentals, small properties with no commission), a booking fee may apply.
3. Payment and Bookings
All payments for travel services (hotels, flights, activities, transport) are made directly to the supplier, not to Still Atlas. We facilitate bookings on your behalf using the payment method you provide.
We may use secure payment links or encrypted email forms to receive your payment information. Once your preferred card is saved in the system, we may use it for future bookings with your permission.
You authorize us to secure supplier services on your behalf and agree to pay all amounts due by the deadlines set by the supplier.
4. Changes, Cancellations & Refunds
All supplier terms apply (cancellation, refund, change policies) and you are responsible for any resulting fees or penalties.
The planning fee is non-refundable under all circumstances.
If a supplier cancels a service or itinerary component, we will endeavor to re-arrange equivalent services, but this cannot be guaranteed. Refunds, where applicable, are processed via the supplier’s policy; Still Atlas is not responsible for supplier default or change.
5. Client Responsibilities
You agree to:
・Provide accurate, complete traveler information (names, dates of birth, passport details, special needs).
・Verify itinerary, confirmations and service details when provided.
・Ensure you hold valid passports, visas, necessary vaccinations, and fulfill entry requirements.
・Maintain appropriate travel insurance coverage.
・Respond to our requests in a timely manner; if you fail to do so, we may cancel services and fees still apply.
6. Travel Insurance
We strongly recommend you purchase comprehensive travel insurance that covers: cancellation, interruption, medical emergencies (international if relevant), lost or delayed luggage, and supplier insolvency. We may recommend a provider such as Faye, but you are free to choose your own.
7. Liability Limitations
Still Atlas acts as agent for travel suppliers and is not liable for their acts, omissions or failures.
We are not liable for delays, changes, cancellations, injuries, illness, theft, or loss caused by a supplier or force majeure event.
Our liability for any error or omission is limited to the amount of any planning fee paid by you.
Nothing in these terms excludes our liability for death or personal injury arising from our negligence.
8. Accuracy of Information
While we make every effort to offer accurate advice, availability, pricing, and service features may change without notice. We are not liable for inaccuracies or changes made by suppliers after booking.
9. Loyalty Programs & Upgrades
Where applicable, we can add your loyalty number to hotel bookings so you earn points and status. Any upgrade or benefit is subject to availability and at the hotel’s discretion.
10. Communication During Travel
If your service package includes in-trip support (e.g., WhatsApp access), we will respond as promptly as practicable. For urgent issues on-site, you should contact the relevant supplier or local emergency services.
11. Intellectual Property
Itineraries, content, guides, images, and curated materials prepared by Still Atlas remain our intellectual property and may not be shared or distributed without express written consent.
12. Governing Law & Dispute Resolution
This Agreement is governed by the laws of the State of Washington, USA. Any dispute shall be subject to the exclusive jurisdiction of courts in King County, Washington.
13. Acceptance
By submitting a service inquiry, paying a planning fee, or confirming any booking through Still Atlas, you accept these Terms & Conditions in full.
